2. Legal bases
We process personal data only where the GDPR allows it, in particular:
- your consent (Art. 6(1)(a) GDPR; for storing or reading information on your device also ยง 25(1) TDDDG);
- the performance of a contract or pre-contractual steps at your request, e.g. a quote, a case or an order (Art. 6(1)(b) GDPR);
- legal obligations, e.g. retention duties under tax and commercial law (Art. 6(1)(c) GDPR);
- our legitimate interests, e.g. a secure, working and fast website and answering enquiries (Art. 6(1)(f) GDPR).
3. Hosting and server log files
This website is hosted by an external web hosting provider. When you open a page, the server automatically records technical data your browser sends: IP address, date and time, requested page, referrer, browser and operating system. We need these data to deliver the website, keep it stable and secure and investigate misuse (Art. 6(1)(f) GDPR). Log files are deleted after a short period unless a security incident requires longer storage. Our hosting provider processes the data on our behalf under a data processing agreement.
A security plugin records IP addresses of suspicious requests and failed login attempts to protect the website against attacks (Art. 6(1)(f) GDPR).
4. SSL/TLS encryption
All pages are transmitted over an encrypted connection (https). Data you send us through forms cannot be read by third parties in transit.
5. Cookies and consent
Technically necessary cookies are used, for example, to remember your cookie choice. All other cookies and similar technologies, in particular for statistics, are used only with your consent, which you give or refuse in the cookie banner. You can change or withdraw your consent at any time with future effect via the cookie settings on this website.
6. Contacting us by email, phone or messenger
If you contact us by email, phone, WhatsApp, Viber or Facebook Messenger, we process the data you share (name, contact details, your message and any photos or videos of your pet) to answer your request and, where applicable, to prepare a quote or a device (Art. 6(1)(b) and (f) GDPR). When you use a messenger, the messenger provider also processes your data under its own privacy policy; you can always use email or phone instead.
7. Contact form and case upload (Upload DICOM)
Our contact form asks for your name, email address, subject and message; you receive a copy of your submission by email. The Upload DICOM form collects the details of the veterinary clinic and the treating surgeon, information about the animal patient, clinical notes and the uploaded CT/DICOM files. We use these data to answer your request and to plan and produce patient-specific solutions (Art. 6(1)(b) GDPR). Submissions are stored in our website database and sent to us by email. Large studies can be sent through WeTransfer, a service of WeTransfer B.V. (Amsterdam, Netherlands), under its own privacy policy.
8. Newsletter
If you subscribe to our newsletter, we use your email address to send you company news, event and seminar dates and information about new solutions (Art. 6(1)(a) GDPR). We use the double opt-in procedure: your subscription becomes active only after you confirm it via the link in our confirmation email. We store the time of subscription and confirmation as proof of your consent. The newsletter is managed with a plugin on our own server. You can unsubscribe at any time using the link in every newsletter or by writing to us; your address is then removed from the mailing list.
9. Google Analytics
With your consent we use Google Analytics 4, integrated through Google Site Kit, to understand how visitors use our website (Art. 6(1)(a) GDPR, ยง 25(1) TDDDG). The provider is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. Google Analytics uses cookies and collects usage data such as pages viewed, time on page, device and approximate location; IP addresses are not stored. Data may be transferred to Google LLC in the USA, which is certified under the EU-US Data Privacy Framework. Until you allow analytics cookies in the cookie banner, Google Analytics runs in Google Consent Mode: no analytics cookies are set and Google only receives cookieless signals, such as that a page was viewed, that are not linked to an identifier. Logged-in site administrators are not tracked. You can withdraw your consent at any time in the cookie settings.
10. Fonts and Google Maps
The fonts on this website are hosted on our own server; your browser does not connect to Google Fonts.
The map on our Network page is provided by Google Maps. When the page loads, your browser connects to Google servers and transmits your IP address, and Google may set cookies. The provider is Google Ireland Limited; data may be transferred to Google LLC in the USA (EU-US Data Privacy Framework). We use the map to show the locations of our partner clinics (Art. 6(1)(f) GDPR). More information: policies.google.com/privacy.
11. Jetpack (WordPress.com)
We use Jetpack by Automattic Inc. (60 29th Street #343, San Francisco, CA 94110, USA). Jetpack delivers images and static files through the WordPress.com content delivery network so that pages load faster, and it provides aggregated visitor statistics. For this purpose your IP address and technical data are processed by Automattic; data may be transferred to the USA (EU-US Data Privacy Framework). Legal basis is our legitimate interest in a fast and reliable website (Art. 6(1)(f) GDPR). More information: automattic.com/privacy.
12. Links to social networks and other websites
Our website links to our profiles on Facebook, Instagram and LinkedIn, to our online shop shop.bio3dtech.com and to partner websites. These are plain links: no data is sent to these services until you click a link. Their own privacy policies apply once you are there.
13. How long we keep data
We delete personal data as soon as they are no longer needed for the purpose they were collected for, unless statutory retention periods require us to keep them (for example up to 10 years for accounting records). Newsletter data are kept until you unsubscribe. Enquiries are deleted once they have been fully dealt with, unless they lead to a contract.
14. Your rights
You have the right to access your personal data (Art. 15 GDPR), to have them rectified (Art. 16), erased (Art. 17) or restricted (Art. 18), to data portability (Art. 20) and to object to processing based on legitimate interests (Art. 21). You can withdraw consent at any time with future effect (Art. 7(3)); this does not affect processing carried out before the withdrawal. To exercise your rights, write to contact@bio3dtech.com.
You also have the right to lodge a complaint with a data protection supervisory authority, in particular the Hellenic Data Protection Authority (www.dpa.gr) or the authority in your country of residence, in Germany for example the State Commissioner for Data Protection of Rhineland-Palatinate (www.datenschutz.rlp.de).
15. Changes to this policy
We update this privacy policy when our website or the law changes. The current version is always available on this page.
